KVKK Disclosure Text

Under Article 10 of Turkish Personal Data Protection Law No. 6698, we explain how we process your personal data in our capacity as data controller.

Last updated

This disclosure text concerns the processing of personal data of people who contact Mai Virtual Office, request a quote or wish to use our services. It has been prepared to meet the disclosure obligation set out in Article 10 of Personal Data Protection Law No. 6698.

Data Controller

Your personal data is processed by Mai Virtual Office as data controller, for the purposes and within the scope described in this text. Contact and request details are given at the end of this page.

Personal Data We Process

The data we process depends on how you reach us and is limited to the following:

  • Identity data — first name and surname.
  • Contact data — phone number and, where provided, email address.
  • Request data — the workspace you are interested in and the message you write.
  • Transaction security data — the date and time of the request, page language, the address of the page it was sent from and the IP address of your connection.
  • Technical data generated in server logs — request time, requested address and browser information.

We neither request nor collect special categories of personal data. We recommend keeping the information you volunteer in the form limited to what is necessary.

Purposes of Processing

Your personal data is processed for the following purposes:

  • Responding to contact and quote requests and answering questions.
  • Conducting pre-contract discussions and planning the service process.
  • Performing the contract and following up the work if a service relationship is established.
  • Recording, following up and resolving requests and complaints.
  • Carrying out information security processes and preventing misuse.
  • Fulfilling obligations arising from legislation.

Your data is processed on the legal grounds listed in Article 5 of the Law:

  • Processing is directly related to the conclusion or performance of a contract — for quote and service processes.
  • Compliance with a legal obligation of the data controller — for record-keeping and retention duties arising from legislation.
  • The legitimate interests of the data controller, provided that the fundamental rights and freedoms of the data subject are not harmed — for request follow-up and information security.
  • Explicit consent — only where none of the grounds above applies and based on the consent you provide.

Method of Collection

Your personal data is collected electronically and directly from you, through the contact form on our website, phone calls, WhatsApp messages and email. Server logs are generated automatically while you browse the site.

Who It May Be Shared With

Your personal data is not shared with third parties for marketing, sold or rented. Any transfer takes place only within the conditions of Articles 8 and 9 of the Law and is limited to the following:

  • The hosting provider running the website and email infrastructure.
  • Authorised public authorities, where they request it.
  • Accounting and legal advisors, once a service relationship is established and to the extent required.
  • The map service provider, because of the embedded map on the home and contact pages — limited to the technical data of your connection.

Retention Period

Your data is retained for as long as necessary for the purpose of processing and for the statutory limitation and retention periods required by legislation. Once those periods end, the data is deleted, destroyed or anonymised.

Requests that are not concluded and do not turn into a service relationship are removed from our records once there is no further need to follow them up.

Rights of the Data Subject

Under Article 11 of the Law, by applying to the data controller you have the right to:

  • Learn whether your personal data is processed and request information if it is.
  • Learn the purpose of processing and whether the data is used in line with that purpose.
  • Know the third parties to whom the data is transferred, in Turkey or abroad.
  • Request the correction of incomplete or inaccurate data.
  • Request the deletion or destruction of the data within the conditions set out in the Law.
  • Request that correction, deletion and destruction be notified to third parties the data was transferred to.
  • Object to a result against you arising from the analysis of the data solely by automated systems.
  • Claim compensation if you suffer damage because the data was processed unlawfully.

How to Apply

You can submit a request regarding the rights above in writing to the address at the end of this page, together with information verifying your identity, or from the email address you have previously notified to us and which is registered in our records.

Your request will be concluded as soon as possible and within thirty days at the latest, depending on its nature. If the process incurs an additional cost, the fee set out in the tariff determined by the Personal Data Protection Board may be charged.
