Privacy Policy
A plain-language explanation of what we collect when you visit this site or get in touch with us, why we keep it and for how long.
At Mai Virtual Office we process the personal data of people who visit our site and contact us only to respond to their request, only as far as needed and only for as long as needed. This policy explains what is collected and what happens to it.
The legal grounds under Turkish Personal Data Protection Law No. 6698 and your rights as a data subject are described in our KVKK disclosure text; the cookies and similar technologies used on this site are covered in our cookie policy.
Scope
This policy applies only to the Mai Virtual Office website and to the contact channels that start from it. Third-party services you reach through external links are governed by their own privacy practices, which are outside our control.
The site has no membership, account creation or online payment feature. We therefore never collect usernames, passwords or payment card details.
Information We Collect
The contact form is the only place on this site where information is collected. When you fill it in and submit it, the following is recorded:
- Full name — so we can get back to you (required).
- Phone number — so we can get back to you (required).
- Email address — if you prefer a written reply (optional).
- The workspace you are interested in and your message — so we understand your request correctly.
- Date and time of the request, page language, the address of the page the form was sent from and the IP address of your connection — for traceability of the record and to prevent misuse.
If you call us or write on WhatsApp instead, the contact details and the content of the conversation are processed to follow up on your request. Conversations on WhatsApp are also subject to that platform's own terms.
As with any website, the server keeps technical logs of visits; these may contain data such as the IP address, request time, requested address and browser information.
How We Use the Information
We use the information we collect only for the following purposes:
- Responding to quote and information requests and identifying the right workspace.
- Conducting pre-contract discussions and planning the service process.
- Keeping track of requests and avoiding duplicate handling of the same enquiry.
- Maintaining the security and technical continuity of the site and detecting misuse.
- Meeting our obligations arising from legislation.
We do not use your information for anything else. We do not build profiles, run automated scoring or process your data for advertising.
Storage and Security
Requests received through the form are kept in an access-restricted log file on the site's server and are also forwarded to the company email address. Only the members of the business who answer the request have access to these records.
We keep the records for as long as it takes to resolve the request and for the retention periods required by legislation, and delete them once that period ends. We apply the administrative and technical measures available to us to protect the data against unauthorised access, loss and alteration.
No method of transmission is completely secure, so we recommend that you do not share sensitive information such as identity documents, financial details or passwords through the form.
Third Parties
We do not sell or rent your personal data and we do not share it with third parties for marketing. Data is shared only in the following cases:
- The hosting provider running the website and the email service — for technical storage of the data.
- Authorised public authorities — where there is a request or obligation arising from legislation.
- Our accounting and legal advisors — only once a service relationship is established and only to the extent required.
Our home page and contact page embed a Google Maps view showing our location. When the map loads, your browser connects to Google servers and technical data such as your IP address is transmitted to that provider. This transfer takes place under Google's own policies.
Cookies
Our site sets no advertising, measurement or analytics cookies of its own, and there is no tracking infrastructure following your visit. Third-party content such as the embedded map may use its own cookies.
See our cookie policy for the details.
Your Rights
You have the right to access your personal data, to ask for it to be corrected or deleted and to object to its processing. The full list of these rights under Law No. 6698 and the way to submit a request are set out in our KVKK disclosure text.
You can send your request using the contact details at the end of this page.
Changes to This Text
We may update this text when our services or the applicable legislation change. The current version is always published on this page, and the date at the top of the page shows the latest update.
